Improving Document Management in a Manufacturing company

Weastec is an autoparts manufacturer from Hillsboro, Ohio (USA). They searched for a solution to streamline their business processes and workflows across all company departments. Canon Solutions America proposed them the powerful software combination of IRISXtract™ and Therefore™ to eliminate paper, save time with expense approvals and the handling of shipping documents, as well as automate many accounts payable and receivable processes.

Document Management is extremely important at Weastec because they are very document-driven. They chose the Canon business process optimization solution to have a look at the processes, see where they had redundancies and where they could be more efficient.

Reducing human intervention to gain time for value-added tasks

One of the document management processes in which they use the IRISXtract™-Therefore™ software combination is the handling of shipping documents. IRISXtract™ matches documents without any intervention or human handling. It is able to determine which is the shipper, what’s the bill of lading, putting them in different files and making it very simple to go on down the line for other users.

Other business process optimizations were done for invoice processing (accounts payable & accounts receivable), expense handling, authorization requests and purchase order handling. All of these business processes were optimized in a way that makes it easier for the employees, saves time and increases transparency and traceability.

At Weastec, they now no longer need to keep hard copies. Therefore™ and IRISXtract™ will scan the document for them and automatically populate it into the document management system.
